Studio Coordinator

The Studio Coordinator under the supervision of the Managing Director and the CFO, performs a variety of reception and administration functions for the studio, including word-processing, scheduling, travel arrangements, organizing meeting and events, and general assistance with the daily operations of the studio. The successful candidate will be soley responsible for maintaining smooth operations at a satellite office, and will provide admin back up support at the main office.

Key contribution areas:

•    Liaise with other functions, outside agencies, vendors, contractors etc. regarding office administration matters pertaining to the daily operations of the studio in a professional, timely manner.

•    Perform reception duties

•    Answer phones and personal inquiries. Provide information and referrals to employees and general public, as required.

•    Maintain/update designated files and record systems.

•    Research and compile data and information in various formats.

•    Handle shipping and receiving.

•    Coordinate, order and distribute/store office supplies and ensure appropriate billing.

•    Oversee maintenance of office equipment (copier, fax, telephones and postage machine).

•    Organize and maintain filing, mail and faxing all outgoing documents.

•    Liaise with building managers for routine office maintenance issues.

•    Display and archive magazine articles about the company.

•    Maintain studio library of books, games and other media.

•    Draft, maintain and provide letters, reports, forms, presentations and other materials utilizing Microsoft Office products, such as Word, Excel, Power Point etc.

•    Coordinating company-sponsored social events and similar functions.

•    Arrange meetings, book and prepare meeting rooms and provide/arrange hospitality for publishers etc.

•    Update studio directory with current contact information.

•    Maintain daily cleanliness of meeting rooms and kitchen. Ensure refrigerator is stocked with dairy and soft drinks.

•    Provide administrative assistance to production staff during crunch times (includes staying late to ensure proper distribution of catered meals).

•    Coordinate office maintenance and cleaning.

•    Serve as a source of information to staff on office activities.

•    Perform additional functions incidential to all office activities and studio events.

Experience, Skills and Abilities:

•    2-3 years work experience in an administration role in a high tech or new media organization.

•    Excellent organizationl, time management and priortization skills including the ability to multi-task with competing priorities.

•    Exceptional interpersonal and communication skills (both verbal and written) are required.

•    Excellent computer skills, particularly using MS Office: Word, Excel, Power Point, Project, Outlook and database programs.

•    Extremely high attention to detail and follow up skills.

•    Efficient keyboarding skills.

•    Efficient problem solving skills.

•    Ability to balance conflicting priorities with minimal supervision.

•    Pleasant and friendly demeanor.

•    Ability to work as a team and individually as required.

•    Purchasing ordering, accounting knowledge and experience would be considered an asset.

•    Some lifting may be required.
